1. Definitions

In these Terms the following definitions apply:

  • “Daffodils Travel”, “we”, “us”, “our” means Daffodils Group LLC, a California LLC, trading as Daffodils Travel, CA Seller of Travel Reg. No. 2163233-70.
  • “Client”, “you”, “your” means the individual or group who engages Daffodils Travel.
  • “Planning Fee” means the fee paid for advisory services at one of four tiers: Explore ($65), Experience ($110), Immerse ($200), or Legacy ($450).
  • “Ground Package” means the total confirmed cost of ground services (accommodation, transport, guides, activities) as confirmed in the Booking Agreement.
  • “Your Travel Journey Blueprint Form” means the detailed questionnaire completed by the client at commencement of itinerary work.
  • “Revision Round” means one consolidated submission of client feedback followed by one fully revised itinerary document.
  • “Departure Date” means the first day of the client’s travel within the destination country.

2. Services Provided

Daffodils Travel provides ground itinerary planning and booking management for India, Nepal, Bhutan, and Sri Lanka exclusively. Services include: destination consultation, personalised itinerary design, accommodation research, private transport coordination, guide and activity arrangement, and on-trip advisor support (full-service tiers).

Services do NOT include: international or domestic flights, visa applications, travel insurance, vaccinations, foreign currency exchange, personal expenses, gratuities, Bhutan SDF, or any service not expressly listed in the confirmed Booking Agreement.

Travel insurance referrals are provided to Arch RoamRight as a courtesy. Daffodils Travel does not sell or administer insurance.

3. Planning Fee Tiers

Clients engage Daffodils Travel by selecting one of four planning fee tiers:

Itinerary work commences upon receipt of the completed Your Travel Journey Blueprint Form. The Planning Fee is non-refundable from that point.
Revision windows: Explore and Experience 30 days; Immerse 45 days; Legacy 60 days from initial itinerary delivery.

4. Plan-to-Go Credit

Available to Immerse and Legacy tier clients who confirm their Booking Agreement AND pay the 30% deposit within 30 days of receiving their completed itinerary. The planning fee ($200 Immerse / $450 Legacy) is credited to the total ground package cost. Non-transferable and not available outside the 30-day window.

5. Hotel Names & Ground Package Pricing

Specific hotel names and per-person ground package costs are disclosed at the booking confirmation stage, after the client has approved the final itinerary. During the planning and revision process, accommodation is presented by character, style, and category only. This policy applies without exception at all tiers.

6. Booking Agreement & Deposit

Upon itinerary approval, Daffodils Travel issues a Booking Agreement and Booking Confirmation. The Agreement must be signed electronically via RocketsAI E-Signatures before any ground bookings are confirmed.

A non-refundable deposit of 30% of the total ground package cost is due upon signing. The deposit is absorbed into the cancellation fee schedule in Clause 8 if the booking is subsequently cancelled.

7. Balance Payment

The remaining 70% balance is due 60 days before the Departure Date. Failure to pay by the due date may result in cancellation; Clause 8 applies. For bookings made within 60 days of departure, full payment is due at the time the Booking Agreement is signed.

8. Cancellation Policy

Cancellation requests must be submitted in writing. The cancellation date is the date the written request is received.
Cancellation Fee Calculation: Fees are calculated on the TOTAL CONFIRMED GROUND COST of the itinerary, not on amounts already collected. If the cancellation fee exceeds the amount collected to date, the difference remains due and payable by the client. The Planning Fee is non-refundable in all circumstances.

Refunds (where applicable) are returned to the original payment method within 21 business days.

9. Itinerary Changes After Booking Confirmation

Minor changes (timing adjustments, activity substitutions) may be accommodated subject to partner availability at no additional planning fee. Significant changes (adding destinations, extending duration, changing departure date) constitute new scope and may require a supplementary planning fee.

10. Bhutan Entry Requirements & Sustainable Development Fee

This clause applies to all clients whose confirmed itinerary includes any nights within Bhutan. All requirements below are mandatory and in addition to the ground package cost. The information in this clause is accurate as of the date of these Terms and is subject to change by the Bhutan Government without notice to Daffodils Travel.

Bhutan Visa

Most international visitors must obtain a Bhutan visa before travel — it cannot be obtained on arrival. Visas are applied for and approved through the Bhutan Department of Immigration at doi.gov.bt. Bangladeshi and Maldivian nationals may obtain their visa either in advance or upon arrival. Indian nationals may enter on a valid Indian passport or a valid Indian voter ID card; Indian nationals under 18 may use a passport or birth certificate and must be accompanied by a legal guardian. Nationals of Switzerland and Thailand holding diplomatic or government-official passports may obtain a visa at the port of entry — this does not apply to standard tourist passports.
OCI Cardholder Note: OCI (Overseas Citizen of India) cardholders traveling on a foreign (non-Indian) passport are treated as international visitors for both visa and SDF purposes. The OCI card is not recognised for the Indian national entry category or the reduced Indian SDF rate. OCI cardholders must obtain a standard tourist visa in advance and pay the international SDF rate of USD $100 per person per night.

Sustainable Development Fee (SDF)

The Sustainable Development Fee (SDF) is a mandatory government levy charged per visitor per night, paid directly to the Bhutan Government. It is in addition to all Daffodils Travel ground package costs and cannot be waived or reduced. The SDF rate is set by the Bhutan Government and is subject to change without notice.

Children aged 6 to 11 (not yet 12) pay half the applicable adult SDF rate. Children under 6 pay no SDF.
SDF refunds for cancelled or shortened trips may be requested through the Bhutan Department of Immigration portal at visit.doi.gov.bt. Bank charges are deducted from the total refunded. Refunds are processed after the visitor leaves Bhutan.
The SDF rate is set by the Bhutan Government and is subject to change without notice. The rate applicable at the time of the client’s travel governs, regardless of the rate communicated at the time of booking

11. Force Majeure

Daffodils Travel shall not be liable for failure caused by events beyond reasonable control including acts of God, natural disasters, pandemics, civil unrest, war, terrorism, government action, or transportation failures. In such events, refund entitlements are subject to recoverable amounts from operational partners.

12. Responsibility & Liability

Daffodils Travel acts as an advisor and booking facilitator. We do not own, operate, or directly employ ground service providers. Our liability in respect of any claim is limited to the amount of the planning fee paid, except where loss arises from our own negligence or breach.

Clients are responsible for: valid passports, appropriate visas, health documentation, Bhutan SDF payment (at applicable rate per Clause 10), and compliance with all destination entry requirements. Clients are responsible for their own travel insurance. Daffodils Travel strongly recommends comprehensive cover including medical evacuation.

13. ASTA Membership & California Seller of Travel Compliance

Daffodils Group LLC is an ASTA member (Independent Advisor/IC) and is registered as a California Seller of Travel (Reg. No. 2163233-70) under California Business & Professions Code §17550 et seq. This registration does not constitute State of California endorsement. Clients who believe a California Seller of Travel law has been violated may contact the California Attorney General’s office.

14. Governing Law & Dispute Resolution

These Terms are governed by California law. Disputes shall be referred first to good faith negotiation (30 days), then mediation, and if unresolved, to the exclusive jurisdiction of the courts of California.

15. Amendments

Daffodils Travel reserves the right to amend these Terms at any time. Amended terms will be published on daffodilstravel.com with an updated effective date. Existing confirmed Booking Agreements are governed by the Terms in force at the time of signing.
