How the planning fee works

The planning fee is what you pay to engage Daffodils Travel's advisory expertise. It covers the research, design, and production of your personalised ground itinerary — tailored to your brief, your travel style, and the specific character of each destination.

It is separate from the ground package cost — accommodation, local transport, guides, and activities — which is revealed and approved by you before the Booking Agreement is signed.

The planning fee is non-refundable from the moment Your Travel Journey Blueprint Form is submitted and itinerary work commences. It is payable before itinerary work begins.

Traveling as one household — even a large one?

These four tiers cover any family or traveling party — a couple, a family of 3, a family of 7, or more — as long as everyone is from one household making decisions together. No headcount limit applies here.

REVISION ROUNDS EXPLAINED

What is a revision round?

A revision round is one consolidated submission of your feedback, followed by one fully revised itinerary document from us. We ask clients to gather all feedback before submitting — not in separate emails. Each round is most productive when it is complete.

Revision rounds protect the quality of the planning process for both sides. They ensure that when we revise, we are responding to your complete thinking — not a sequence of partial thoughts that results in a half-revised document.

PLAN-TO-GO-CREDIT

Your planning fee can offset your booking cost.

Available to Immerse and Legacy tier clients. When you commit to booking within 30 days of receiving your completed itinerary, the full planning fee you paid is deducted from your total ground package cost.

For single-country Immerse clients, that is $200 credited back. For single-country Legacy clients, $450. For multi-destination circuits the credit scales to the full fee paid — a 3-country Legacy client receives $900 credited toward the ground package.

The Plan-to-Go credit is non-transferable, cannot be carried forward, and is forfeited if the Booking Agreement and 30% deposit are not confirmed within the 30-day window.

Confirm your Booking Agreement AND pay the 30% deposit within 30 days of receiving your completed itinerary.

What the credit applies to

The full planning fee is deducted from your total ground package cost — accommodation, transport, guides, and activities — at the Booking Agreement stage.

Important conditions

Non-transferable. Cannot be carried to a future booking. Forfeited if the 30-day window lapses without a signed agreement and deposit paid.

Rush planning fee

Applied when travel begins within 14 days of initial inquiry. Short lead times require expedited research and partner coordination outside the standard planning process.
Itinerary redesign fee
$95
Applied when a major redesign is requested after the itinerary has been signed off and approved. Restarting from a confirmed version requires a full rebuild of the day-by-day plan.
Last-minute re-shop fee
$75
Applied when re-shopping hotels or transfers is requested after confirmed bookings have already been made with ground partners.
Cancellation handling fee
$75
Applied when managing supplier cancellations, chasing refunds, and coordinating rebooking on your behalf. Covers the advisor time required to resolve the disruption.

HOTEL NAMES AND SPECIAL GROUND PRICING

When hotel names are disclosed

Specific hotel names and per-person ground package costs are not disclosed during the planning and revision process. Once you have approved your final itinerary, we reveal the specific hotel names and the per-person ground cost. You review and approve both before anything is signed.

During planning, accommodation is described by character — heritage haveli, boutique forest lodge, intimate tented camp — and by category. This ensures the planning process focuses on the right things.

This policy ensures your itinerary is built around your brief and travel style, not around what happens to be available on the day we are drafting. Every revision focuses on routing, pacing, and experience — not property names.

TRAVEL INSURANCE

Not included — here is what we recommend

Travel insurance is not included in any planning fee or ground package cost. Daffodils Travel does not sell or administer insurance. We refer clients to our preferred provider:

Arch Insurance Company — comprehensive coverage including trip cancellation, medical, emergency evacuation, baggage, and 24-hour travel assistance.
For Nepal and Bhutan clients
Ensure your policy covers high-altitude medical evacuation. Evacuations in Nepal and Bhutan can cost USD $50,000–$150,000. Standard travel policies often exclude this. Verify with your provider before purchasing.
