How the planning fee works

The group planning fee is what you pay to engage Daffodils Travel's advisory expertise for a multi-traveler trip. It covers the research, design, and production of your group ground itinerary — coordinated across households, paces, and preferences, and tailored to the character of each destination. It is separate from the ground package cost — accommodation, local transport, guides, and activities — which is revealed and approved before the Booking Agreement is signed. The fee is non-refundable from the moment Your Travel Journey Blueprint Form is submitted and itinerary work begins.

The planning fee covers the design, research, and production of your group itinerary. It is separate from and in addition to the ground package cost. It is non-refundable from the moment the Your Travel Journey Blueprint Form is submitted.

One household or multiple?
These tiers are for two or more traveling households planning together — multiple families, couples, or individuals coordinating a shared trip. If your entire group travels as one household (one family, one set of shared decisions), our individual planning tiers cover you at any family size — including families of 5, 6, 7 or more.

Multi-destination supplement: +$100 per additional country beyond the first.

The group planning tier covers the complexity of coordinating multiple households. Multi-destination work adds routing complexity, seasonal alignment across borders, and multiple Ground Partner relationships on top of that. The flat $100-per-country supplement accounts for the additional planning hours — without changing your tier or its included features.

What is a group revision round?

A revision round is one consolidated submission of feedback — gathered and sent by your Group Lead — followed by one fully revised itinerary document from us. We ask the Group Lead to collect the group's feedback into a single submission rather than relaying it as separate messages from individual travelers. Each round is most productive when it is complete.
Consolidating feedback through the Group Lead protects the quality of the planning process for everyone. It ensures that when we revise, we are responding to the group's complete thinking — not a sequence of partial requests from different members that leaves a half-revised document.

 

How many rounds are included

Yatra includes 3 rounds. Sangam includes 5. Odyssey and Bespoke include unlimited rounds within the agreed scope.

Ground package payment — four stages

The planning fee is separate from the ground package cost. The ground package covers accommodation, private transport, guides, and activities. Once your group itinerary is approved, we reveal specific hotel names and the per-person ground cost for your review and approval before the Booking Agreement is signed.

Hotel names and per-person ground costs are not disclosed during planning. They are revealed after itinerary approval — you review and approve both before signing anything.

Per-country government costs

Some destinations levy government fees that are separate from, and additional to, the planning fee and the ground package cost. These are set by the destination’s government and passed through at cost with no mark-up:

  • Bhutan — a Sustainable Development Fee (SDF), charged per person per night, plus visa and permit processing.
  • Nepal — national-park, conservation-area, and trekking permits where your itinerary requires them.
  • India & Sri Lanka — visa or entry fees, and site or monument entry fees where applicable.

HOTEL NAMES AND SPECIAL GROUND PRICING

When hotel names are disclosed

Specific hotel names and group ground package costs are not disclosed during the planning and revision process. Once the Group Lead has approved the final itinerary, we reveal the specific hotel names and the group ground cost. The Group Lead reviews and approves both before anything is signed.

During planning, accommodation is described by character — heritage haveli, boutique forest lodge, intimate tented camp — and by category. This ensures the planning process focuses on the right things – experience, pace etc.

This policy ensures your itinerary is built around your brief and travel style, not around what happens to be available on the day we are drafting. Every revision focuses on routing, pacing, and experience — not property names.

TRAVEL INSURANCE

Not included — here is what we recommend

Travel insurance is not included in any planning fee or ground package cost. Daffodils Travel does not sell or administer insurance. We refer clients to our preferred provider:

Arch Insurance Company — comprehensive coverage including trip cancellation, medical, emergency evacuation, baggage, and 24-hour travel assistance.
For Nepal and Bhutan clients

Ensure your policy covers high-altitude medical evacuation. Evacuations in Nepal and Bhutan can cost USD $50,000–$150,000. Standard travel policies often exclude this. Verify with your provider before purchasing.
